What are Scheduled Reports?
Scheduled Reports let you automate the delivery of your platform reports on a recurring basis — daily, weekly, or monthly. Instead of generating and exporting the same report every week, you set it up once and the platform delivers it on schedule.
Who can use this feature?
Only administrators on your enterprise account with permission to access Reports can create and manage scheduled reports.
Admins can send scheduled reports to external recipients, such as managers, HR, or compliance teams, by email. External recipients can download the report from the email link.
Where do I find it?
On your Reports page under the Admin Console, click the Scheduled Reports tab. You'll see all your active schedules there, or an empty state if you haven't created one yet.
How do I create a scheduled report?
1. Go to the Scheduled Reports tab and click + Add scheduled report.
2. Pick the report, choose your cadence (Daily, Weekly, or Monthly) and time, add recipients, and save.
Which reports can I schedule?
You can schedule any of the 9 standard reports available on your Reports page:
• Overall progress — high-level progress snapshot across all your learners
• Individual progress — book, lab & video — learner-by-learner course-material progress
• Individual progress — assessment — assessment activity and results per learner
• Individual progress — exam — exam attempts, status, and results per learner
• Individual progress — challenge lab — challenge lab activity and completion per learner
• Individual progress by module — per-learner breakdown grouped by module
• Individual progress by course — per-learner breakdown grouped by course
• Individual progress by learning path — per-learner breakdown grouped by learning path
• Learner activity — recent login and platform-activity log per learner
What format do scheduled reports come in?
Scheduled reports are delivered as CSV files.
Can I send reports to people outside my organization?
Yes. Add any valid email address as a recipient. They'll receive a secure download link by email — they don't need a platform account to access the file.
How long is the download link valid?
The download link is valid for 7 days from the time the report is delivered. After it expires, you can download the report again from the Reports page.
Can I change the report after I've created the schedule?
You can change the cadence, time, and recipients at any time using the (…) menu. The report type cannot be changed — if you need a different report, create a new schedule.
How many scheduled reports can I have?
You can have up to 25 active scheduled reports per account. To create more, delete any schedules you no longer need.
What time will my report actually arrive?
The time you pick is when the platform starts generating your report. Email delivery happens once generation completes — usually within seconds, though larger reports may take a few minutes. Times are stored in UTC and displayed in your local timezone; during daylight saving transitions, the delivery may shift by 1 hour.
What if I forget to add a recipient?
The report will still generate on schedule and will be available to download from the Reports page — but no one will receive it by email. You can edit the schedule any time to add recipients.
How do I pause or delete a schedule?
Open the (…) menu next to any scheduled report in the list view and pick Pause, Edit, or Delete. Pausing keeps the schedule in place but stops it from firing; deleting removes it permanently. Already-delivered reports stay where they were sent.
